Data entry is one of the most time-consuming and error-prone administrative tasks. Whether it's typing numbers from invoices, extracting information from forms, or transcribing data from PDFs — AI can do this automatically and accurately.

Task 1: Extracting Data from an Invoice

Step-by-step:

  1. Upload the invoice PDF or image to your AI tool (ChatGPT and Copilot both support file uploads)
  2. Ask AI to extract the key fields in a structured format
  3. Review the extracted data for accuracy
  4. Copy the structured data into your spreadsheet or accounting system

Example prompt:

I have uploaded an invoice. Please extract the following information and format it as a table: - Invoice number - Invoice date - Vendor name - Vendor address - Line items (description, quantity, unit price, total) - Subtotal - Tax - Total amount - Payment due date

Task 2: Extracting Data from Multiple Receipts

For expense report processing:

I have uploaded [number] receipts. For each receipt, extract: - Date - Vendor/Merchant name - Total amount - Category (Meals, Travel, Office Supplies, etc.) - Payment method if visible Format all receipts in a single table with one row per receipt. Sort by date.

Task 3: Converting a PDF Form to Structured Data

When you receive filled forms that need to go into a database or spreadsheet:

This uploaded PDF is a filled [employee onboarding / application / registration] form. Extract all the information into a clean format with field names and values. If any field is illegible or missing, mark it as "UNCLEAR" rather than guessing.

  • Quality matters: Blurry or skewed images reduce accuracy. Use clear scans or photos
  • Sensitive data: Do NOT upload documents containing SSNs, credit card numbers, or confidential client information to public AI tools
  • Complex layouts: Multi-page invoices with unusual formats may require additional instructions in your prompt

When to Use Dedicated OCR Tools Instead

For high-volume data extraction (100+ documents per week), consider dedicated tools like:

  • Microsoft Power Automate with AI Builder (integrates with Office 365)
  • Google Document AI (integrates with Google Workspace)
  • Nanonets or Rossum (specialized invoice and receipt processing)

These tools offer higher accuracy and automation workflows for repetitive processing.
